At SwimTrack, we only collect the data necessary to improve your times and manage your club. We read and write your workout data to the Apple Health app strictly to keep your logs accurate, and we never sell your personal information or health metrics to third parties. Our whiteboard scanner processes images temporarily and does not store your photos.
Who we are
SwimTrack is a coach dashboard, club swimmer logbook (web and Android), and native iOS app. Contact: privacy@swimtrack.app.
What we collect
- Name and email — account management via Clerk (Apple, Google, or email sign-in). Legal basis: contract.
- Whiteboard photos — only the image you capture or upload so vision AI can parse handwriting into sets. We do not attach device identifiers or other photos. Legal basis: legitimate interest / contract to provide the scan feature.
- Swim workouts (planned sets, logs, yardage, optional variance). On iOS, with your explicit tap to connect, we may read completed pool swims from the Apple Health app and save completed whiteboard sets back to it. This is health and fitness data. Legal basis: explicit consent.
- Device and IP — security, fraud prevention, and short-lived server logs (Clerk and our API). Legal basis: legitimate interest. Retained 30–90 days.
How we use it
App functionality only: parse whiteboards, show today's set, log completions, and (on iOS, after you tap Connect) compare planned vs actual swims using the Apple Health app. We do not use this data for advertising, marketing profiles, or tracking you across other companies' apps or websites.
AI / vision processing
When you scan a whiteboard, the photo is sent to a vision model (currently a paid OpenAI / Replicate API) so we can extract sets. Processing is ephemeral: the image is used to return structured workout JSON and is not kept as a long-term photo library. Under OpenAI's paid API terms, your images are not used to train their models. OpenAI (and our vision host) act as data processors. The UI shows a "Parsing whiteboard…" state so it is obvious the photo is leaving the device.
Apple Health app (iOS)
SwimTrack works with the Apple Health app to keep logs accurate. We only request access after you tap Connect Apple Health — never on launch, and never via a fake system dialog. You can revoke access anytime in iOS Settings → Health → Data Access. Data that already synced into the Apple Health app stays on your device if you delete SwimTrack; remove it there if you want it gone from Health as well. We do not use Apple Health data for marketing.
Android camera
The Android app (Trusted Web Activity) uses the standard browser camera capture for whiteboard photos. Granting camera access is optional; you can upload a file instead.
Who we share with
- Clerk — authentication (data processor). We maintain a Data Processing Agreement with Clerk.
- Vision API (OpenAI / Replicate) — ephemeral whiteboard parse only.
- Apple — Health data stays under your Apple Health permissions on device.
- We do not sell personal information (CCPA).
Retention
Account, workout logs, and templates you authored are kept until you delete your account. Whiteboard images are processed ephemerally. Security logs: 30–90 days.
Delete your account and data
You can delete your account in the app (Settings / dashboard) or on the web without reinstalling: swimrava.com/account. That sends DELETE /api/v1/account and permanently removes your SwimTrack profile, workout logs, and related records. You may also email privacy@swimtrack.app. We complete email requests within 30 days.
Your rights
Depending on where you live (including GDPR and CCPA), you may access, correct, export, or delete your data, or withdraw Apple Health consent in system settings. Email privacy@swimtrack.app.
